Timeframe appointing student casual workers/GTAs

myJobshop Hiring Managers are responsible for ensuring any student offered casual or Graduate Teaching Assistant/Associate work within their department is fully registered on myJobshop and has completed their eligibility to work (ETW) check with the Student Jobshop, before they commence any paid training / preparation / work.

As well as the ETW check there are a number of stages in the process to ensure students have submitted the necessary details / documents in order to be fully compliant and set up to be paid.
 
Wherever possible, and particularly during our busy periods and whilst working remotely, we would appreciate at least 5 working days notice for any new appointments.
 
Additional time is required if the work is to be advertised. We realise this isn’t always possible and we always endeavour to turn bookings around in much shorter timescales but given the stages detailed below we hope you understand our request for as much notice as possible.

Stages to be completed prior to work commencing:

1. Hiring Manager creates a vacancy to inform Student Jobshop who will be working
2. Student Jobshop offers vacancy to student(s)
We can only do this when the student has a myJobshop account. If they don’t, we email them on the day we’ve been informed to tell them what to do. We pick up new accounts every weekday morning and send outstanding offers of work
3. Student must fully accept their offer
4. Student must also complete their ETW check with us
Done remotely at present, involving the student emailing us a copy of their documentation, plus a Share Code if they’re an international student. This is followed by a video call with us to finalise the verification. Please note- students don’t always have their ETW documents with them at University so additional time can be required to get these from home.
